Distinctions Terms & Conditions

Please read carefully before booking an assessment

  1. Submissions & Applications
    1. Applicants must ensure that any submission has been produced in an ethical manner, with due respect to the dignity of the people and places depicted, including any explicit consent. No individual should be put at risk.

    2. The RPS reserves the right to request more information about submitted work and may, at its sole discretion, choose not to assess work submitted.

    3. The RPS reserves the right to reject any application/submission/image at its discretion.

    4. The RPS may request original files to check authenticity.

    5. The RPS may exclude any submissions which, in its opinion, could cause offence or break the UK law.

    6. The RPS reserves the right to cancel any event 7 days prior to its start date, or less than 24 hours due to adverse weather conditions or extraordinary circumstances beyond its control.

  2. Personal Data
    1. The RPS will hold and process personal information in connection with the Distinctions Processes and procedures. We will use this to keep you informed about the status and process with the Assessment procedures. Applicants agree that personal data including, but not limited to, name, mailing address, phone number, and email address may be collected, processed, stored and otherwise used for the purposes of conducting and administering processes and procedures of the Distinctions.  Our privacy policy explains how we store and use data. Images and relating documents necessary to the Assessment or One2one Review are shared with those Volunteers needed for the process to be achieved.

    2. The RPS will pass personal data for the purpose of running and preparing submissions to third-parties including but not limited to: Kyoso for managing the receipt of submissions, Think Publishing (RPS Journal Publisher).

    3. If an Applicant has requested for their portfolio to be returned*. The distinctions department will share the necessary information for its return with a courier company. This will include, name, return address, contact details.

    4. Your personal data will not be shared with third parties for unrelated activities.

      *Print and Book submissions only. 

  3. Copyright and Reproduction
    1. The Intellectual property of all submissions remains with the photographer.

    2. Images submitted to any distinction or qualification assessments must not infringe any copyright or intellectual property rights of any third party.

    3. Applicants license the RPS to reproduce, without payment, any images for publicity and promotion purposes in connection with the Distinctions and the RPS’s activities, including within the RPS Journal, website, and social media.

    4. The photographer will be credited if their image is used by the RPS. 

On booking or by submitting an application for either a Distinction or Qualification, the Applicant consents to use and terms & conditions.

4.Distinction Observer Terms & Conditions

    1. There will be no audience participation during assessments.
    2. Please note that by joining the assessment (Online or In Person), you undertake not to make an audio or visual recording of any proceedings.
    3. We make these assessments public to provide transparency about the process of RPS Distinctions.
    4. Please feel free to make personal notes for your use, but please don’t publish them on social media; these assessments are anonymous, and it is just as easy to identify someone or their work from a description.
    5. Opinions given verbally by the individual assessors are part of the process necessary for making an artistic evaluation measured against the published Criteria.
    6. Please note: Assessments may contain images of sensitive content that some people may find offensive or distressing.
    7. Images shown via the live stream are not to the same quality, as those under the Assessment conditions.
